Job Summary:

The Preventing Chronic Diseases Administrative Assistant will oversee administrative services and provide support to the Preventing Chronic Diseases team.

The Preventing Chronic Diseases Administrative Assistant is directly accountable to the Preventing Chronic Diseases Manager.



• Persons of First Nations ancestry will be given preference (OHRC, Part II, Special Employment).

• High school diploma.

• A minimum of 1 years’ experience working in an administrative role.

• Strong computer skills; proficiency in Microsoft Office, including Excel, Outlook, Sharepoint, and Word.

• Strong interpersonal skills: able to build rapport and maintain good working relationships with community members, program staff, and partners.

• Demonstrates understanding of and competence in serving culturally diverse populations; knowledgeable of First Nations’ peoples, history, culture, and health priorities.

• Demonstrates excellent written and verbal communication skills, and strong attention to detail.

• Demonstrates initiative, self-motivation, and can work independently, as well as part of a team.

• Able to meet deadlines and adapt in a fast-paced environment.

• Willing to travel to other SLFNHA offices or off-site meetings.

• Valid Class G Ontario driver’s license.

• Certificate or Diploma in Secretarial Arts and/or Office Administration, or equivalent education and experience is an asset.

• Ability to speak in one of the Sioux Lookout area First Nations dialects and/or write in syllabics is an asset.

• Ability to perform the requirements of the job on a regular basis.


Roles and Responsibilities:

1. Plans and co-ordinates the activities of the Preventing Chronic Diseases program, to increase the time available to the Preventing Chronic Diseases Manager and other Preventing Chronic Diseases staff for the management and delivery of the programs/services.

2. Prepares/drafts, edits, and distributes documents including community letters, correspondence, administrative forms, reports, memos, and emails.

3. Schedules and attends meetings, prepares agendas, and records and distributes meeting minutes.

4. Manages resource and office supplies inventories. Supports and facilitates research, makes quote requests, develops purchase and cheque requisitions, and receives and handles invoices.

5. Assembles program supplies for education, events and/or administrative purposes and distributes as needed.

6. Co-ordinates travel for Preventing Chronic Diseases staff; develops and maintains travel documents and reports.

7. Supports Preventing Chronic Diseases staff in organizing and coordinating program events, including trainings, conferences, and health promotion events.

8. Maintains the electronic and hard copy office filing system for the Preventing Chronic Diseases team.

9. Inputs data related to Preventing Chronic Diseases services and compiles reports as required by the Preventing Chronic Diseases Manager and/or other program staff.

10. Maintains accountability by working within the program guidelines, by providing regular updates to the Preventing Chronic Diseases Manager and other team members as appropriate.

11. Completes other duties as assigned.
